Set up Mail

Getting company email working takes three steps, in order. The first two happen once for your whole organisation; the third you'll come back to whenever someone new joins.

Work through them top to bottom — each one depends on the one before it.

Before you start

You'll need:

  • An admin account for your organisation.
  • Your company's own domain — the part after the @, like yourco.in. It's the same domain your website uses. If you don't own one yet, buy one from any domain registrar first.
  • Access to wherever your domain's settings are managed (your registrar or DNS provider), so you can add a few records. More on this in Step 2.

Step 1 — Make sure Mail is switched on

Mail is a subscription that sits alongside your other Webelio products. Open the products and subscriptions screen and check that Mail shows a status of Active (or Trial).

If Mail isn't listed, or shows as Suspended or Cancelled, contact Webelio support to have it added. Subscriptions are changed by Webelio, not from inside the app.

Step 2 — Connect your domain and add its records

Email can only be delivered to @yourco.in once your domain is connected to Webelio and a few settings are published for it. This is done once, in the Organisation area — not in Mail itself.

  1. Go to the domain and email screen in the Organisation area.
  2. Add your company domain (for example yourco.in).
  3. Webelio shows you a short list of DNS records to add. DNS (Domain Name System) is the internet's address book — these records tell the world that email for your domain is handled by Webelio, and prove the mail is genuinely from you.
  4. Copy each record into your domain's settings, at your registrar or DNS provider.
  5. Come back and let Webelio check them. Once the records are found, your domain is marked verified and it's ready for mailboxes.
info

DNS changes can take anything from a few minutes to a few hours to spread across the internet. If verification doesn't pass right away, wait a little and check again.

warning

Add every record Webelio shows you, exactly as given. Missing or mistyped records are the most common reason email fails to arrive or lands in spam.

Step 3 — Create mailboxes for your people

With Mail switched on and your domain verified, you can hand out addresses. In the Mail Admin area, open the Mail Accounts screen and add a mailbox for each person — for example priya@yourco.in.

Each person then signs in to their mailbox with their normal Webelio login. No new password to remember.

For the full detail — including shared addresses like sales@ — see mailboxes and aliases.

You're done

Once mailboxes exist, your team opens email from the Mail tile on their home screen. Nothing else to install.
