Talent pool
The Talent Pool is your company's searchable database of everyone you've ever come across — not just people applying to a job right now, but every candidate you've added, sourced or imported. It's the place to go when a new role opens and you want to check whether someone good is already on file.
Open Talent Pool from the sidebar. Search by name, skills or any detail to find people fast.
Pool candidate versus applicant
This is the one idea worth getting straight:
- A candidate is a person — one record with their contact details, experience and résumé. They live in the talent pool.
- An application is that person's pursuit of one specific job. It carries their stage, their interviews and their offer for that role.
The difference matters because one person can be considered for several roles without you copying their profile each time. Someone in your pool can apply to a Sales role today and a different role next year — same person, two applications. A candidate can sit in your pool having never applied to anything — you added them speculatively, and they'll be ready the day a fitting role opens.
So: the talent pool is your list of people; the pipeline is your list of people-pursuing-a-role.
Adding candidates
There are three ways to build your pool.
Add a candidate
Click Add candidate to enter one person by hand — their name, contact details, experience, and their résumé. Use this for a referral or someone you sourced directly.
Import from CSV
Click Import from CSV to bring in many candidates at once from a spreadsheet — handy when you're moving from another tool or a sourcing list. Fill in the columns, upload the file, and the candidates are created in your pool.
Import resumes
Click Import resumes to upload a batch of résumé files together. Each one is turned into a candidate record, and you can watch the parse status as Recruitment reads the details out of each file. This is the fastest way to load a stack of CVs into the pool.
Reading details out of a résumé automatically relies on the résumé-parsing AI feature. Turn it on in setup if you want imported files to fill in candidate details for you.
Avoiding duplicates
Recruitment keeps your pool clean by matching on email address. If someone you're adding already exists, their existing record is reused rather than a second copy being created — so a candidate who applies to two roles, or who you import twice, stays as one person.
