Bulk import

When you're setting up your whole team, adding people one at a time is slow. Webelio gives you two bulk options: invite many people to fill in their own details, or import a spreadsheet you already have.

Bulk invite

Use this when you want each person to complete their own self-onboarding. From the Employees screen, choose Bulk invite. The wizard has four stages:

  1. Compose — enter the people to invite: a name and email for each. Paste a list or add rows.
  2. Preview — Webelio shows who will be invited so you can catch typos before anything is sent.
  3. Sending — invitations go out, with a progress indicator.
  4. Done — a summary of who was invited.

Each person gets a link to fill in their own details; the records land in your list marked for review.

CSV import

Use this when you already have your team in a spreadsheet. From the Employees screen, choose Import from CSV. The wizard also has four stages:

  1. Upload — choose your CSV file.
  2. Preview — Webelio reads the file and shows each row with any problems flagged.
  3. Importing — valid rows are created, with a progress indicator.
  4. Done — a summary of how many were created and how many were skipped.

The CSV template

Download the template from the upload step and fill it in — the columns are already in the right order. Common columns include:

Fixing errors

If the Preview step flags a row, fix it in your spreadsheet and upload again. The most common causes are:

  • A department, designation, or location that doesn't exist yet — create it in setup first, or correct the spelling to match.
  • A missing required field, such as name or date of joining.
  • A date in the wrong format — match the template exactly.
  • A duplicate email already used by another employee.

Only clean rows are imported; flagged rows are skipped so you never get half a record.

The export mirrors the import. When you export your employees from the list, you get the same columns in the same order — so you can export, edit in a spreadsheet, and re-import without reshaping anything.
