Assigning shifts

A shift is the timing of a person's working day — when it starts, when it ends. The Shift Assignment grid is where you say which shift each person works on each weekday, and which days are their weekly offs.

The weekly grid

The grid lists your people down the side and the seven weekdays (Sunday through Saturday) across the top. Their code, name, department, and designation stay pinned on the left.

Each cell is a dropdown. For a given person on a given weekday you choose:

  • one of your shifts (for example, "First Shift", "General", "Night"), or
  • Week Off — a regular non-working day.

Set a shift on the days someone works and Week Off on their rest days. That pattern repeats every week, so you set it once.

Use the branch filter at the top to work through one location at a time, then Save to write your changes.

Rotating and alternate patterns

For weekly offs that don't fall every week — like alternate Saturdays — pick Week Off on 1st…5th in the cell. That marks the day off only on that occurrence of the weekday in the month. For example, "Week Off on 2nd and 4th" for Saturday gives the common alternate-Saturday pattern.

These weekly offs are what the attendance grid reads to decide which days are non-working, so nobody is marked absent on their own rest day.

The default pattern

You don't start from a blank grid. When you add a new person, Webelio pre-fills their week from your organisation's work week (set in work schedule) — working days get your default shift, and your usual off days get Week Off. Adjust anyone whose pattern differs, then save.

Shifts themselves — their start and end times, grace period, and overtime rules — are defined in Settings → Shifts. This grid only assigns those shifts to people. A "First Shift" is set up for you so the roster always has at least one option.
