Employee codes

Every employee has a code — the short identifier that appears on their payslip, in attendance, and in every report. This step decides whether Webelio numbers people for you or you type each code in by hand.

This is step 7 of the setup wizard, and is edited later under Settings → Employee Codes.

Setting a prefix

  1. In the wizard, open Employee Codes (later: Settings → Employee Codes).
  2. Type a short prefix — usually your company's initials, for example LR or ACME.
  3. Save.

That's it. The next employee you add is numbered LR001, then LR002, and so on. Each new code carries on from the highest one already in use, so numbers never collide and never restart.

The field shows you exactly what you'll get as you type, so you can try a prefix before saving it.

Or leave it blank

Leaving the prefix empty is a real answer, not an unfinished step. Choose it when you already have your own numbering — codes from an old system, or a scheme your team recognises — and want to enter each one yourself when adding an employee.

Saving the step with the field blank marks it complete and moves you on.

Decide this before you add people. Codes that have already been handed out can't be renumbered into a scheme afterwards — they appear on payslips and reports that are already issued. Setting the prefix first is far easier than fixing it later.

Changing it later

You can change the prefix at any time under Settings → Employee Codes. Existing employees keep the codes they already have; only people added afterwards use the new prefix. That's usually what you want, but it does mean a mid-stream change leaves you with two sets of codes — so it's worth getting right at the start.
