Getting started

I can't add an employee — the button seems blocked.

Adding people is blocked until your organisation setup is finished. Complete the setup wizard — Webelio needs your departments, locations, and shifts in place before a new record has anything to point at. The sidebar shows a setup progress badge so you can see what's left.

Where do I change something I set during setup?

Everything from the wizard stays editable under Settings. Each wizard step maps to a Settings tab — work schedule, departments, locations, shifts, leave, and compliance.

What's the difference between the two portals?

The admin portal is for HR and owners to run the business. The employee portal is where staff check in, apply for leave, and see payslips. One login reaches whichever parts the person is allowed to use — see logging in.

Attendance

An employee can't check in on mobile — why?

Webelio returns one of three plain reasons. Location required means location capture is on but the phone sent no GPS; outside the allowed area means geofencing is on and they're beyond the branch radius; device not registered means they're on a new phone. Each fix is on the mobile check-in page.

An employee got a new phone and can't log in.

Webelio binds one mobile device per account for security, so a new phone is refused until you unbind the old one. On the Attendance Permission page, use Reset Mobile Login for that employee — their next sign-in on any phone re-binds. Web and portal logins are unaffected.

Why does a day show as "not marked"?

Nobody recorded attendance for it yet. You can set it in the monthly grid by clicking the cell. Note that unmarked past working days become loss-of-pay only when you finalize the month.

How do I fix a wrong attendance day?

An employee raises a regularization request with the correct in and out times, and you approve it. Approving merges the corrected times and recalculates the day's hours.

Can I mark attendance for many people at once?

Yes — the monthly grid has a bulk mode for multi-select and drag, and Export/Import CSV for large edits. Bulk mode covers present, absent, and half-day; leave is marked per person so balances stay correct.

How do I pay for overtime?

Turn on Pay overtime under Settings → Attendance. You can pay all extra hours automatically, or require employees to request each day and only pay the ones you approve. See overtime pay & approvals.

Leave

Why did an approved leave still cost the employee pay?

They'd run out of paid balance for that leave type, so the extra days fell to Unpaid Leave (LWP). Check the person's balance under Leave Management; to give more, adjust their quota or grant a comp-off.

A leave request isn't reaching me.

If manager approval is on and the employee has a reporting manager, the request goes to the manager first, then to you. Check the routing under Settings → Manager Approval, and find all pending items in the Approvals queue.

How do I give someone extra leave?

Adjust their per-employee quota or apply a signed balance adjustment with a reason, both from the balances page. For a day earned by working a holiday, grant a comp-off instead.

What happens to unused leave at year-end?

It depends on the type: some carries forward (up to a cap), some lapses. You run year-end processing to roll balances into the new financial year. Encashment of unused leave happens only when someone leaves, inside full and final.

Payroll

Why can't I run payroll for the month?

Payroll needs each employee's attendance finalised first — that's what supplies days worked and loss-of-pay. Finalize the month in the attendance grid, then start the run. See running payroll.

The payslip shows LWP — what is that?

LWP is loss of pay — days the employee wasn't paid because they were absent, took unpaid leave, or exceeded their paid balance. Loss-of-pay is deducted before statutory amounts are worked out, so it also lowers that month's PF and tax slightly. See payslips.

What's the "Late deduction" line on a payslip?

It's a pay cut for arriving late more than the monthly free allowance you set under Settings → Attendance. Unlike loss of pay, it's charged as its own line after PF, ESI, and tax — so those stay on full pay and the employee sees the penalty clearly. See payslips.

How do I give a raise?

Open the employee, choose Revise (not plain edit — CTC is otherwise fixed), enter the new CTC and effective date, and confirm. If the date is in the past, Webelio previews the arrears and queues them for the next run. See CTC and compensation.

How do employees get paid?

After you approve a run, generate the bank file — a NEFT/RTGS CSV you upload to your bank to pay everyone at once. You can also mark individuals paid by cash or UPI.

An employee is leaving — how do I settle them?

Use full and final: it totals pending salary, leave encashment, gratuity, and bonus, subtracts any loan or notice recovery, and produces a settlement statement.

Can I recover a loan or advance through salary?

Yes. Grant it under Loans & Advances and the EMI is deducted automatically from each payroll until it's cleared.

Compliance

Why is PF not being deducted?

Either Provident Fund isn't switched on for your org, or it's off for that specific employee. Check the master switch under Settings → Compliance and the employee-level flag on their compensation. Full rules are on the Provident Fund page.

PT isn't showing for my state.

Professional Tax is state-specific and isn't levied everywhere — it follows the employee's work location, not your head office. Confirm the work location's state is correct and that your state has PT slabs. See Professional Tax.

When does ESI apply?

ESI kicks in for employees earning gross ₹21,000/month or less, once you enable it for the org. Turn it on and enter your ESI employer code under Settings → Compliance. Details are on the ESI page.

Where do I file PF and ESI returns?

Webelio generates the files — an ECR text file for PF and a return file for ESI — which you upload to the respective government portals. Find them in statutory reports.

Employee portal

How does an employee switch tax regime?

On their My Tax page they compare the old and new regimes side by side — Webelio computes both so they can pick the cheaper — and select one. This is only possible while the tax declaration window is open, which you control under Settings → Tax Declaration.

An employee can't declare their investments.

The declaration window is probably closed. Open it under Settings → Tax Declaration; once open, employees declare and upload proofs on their My Tax page.

Where does an employee find their payslip or Form 16?

Both are in the employee portal — payslips under My Payslips, and Form 16 on the My Tax page after year-end processing.
